Document tracking and Management System – A reader at the filing cabinet, and all the files to have sticker RFID tags on the files.
i. Now whenever somebody needs a file, he shows his I-card to the cabinet, and it opens up. ii. Now the person takes a file out, and also shows the file to the same reader installed on the cabinet iii. Now he closes the cabinet. iv. The reader at the cabinet can be programmed to show how many files are there in the cabinet and how many have been taken. Now, if the cabinet is designed to hold fix no of files, it is easy to check if there is any discrepancy. v. The reader registers the information and passes the information to company’s local server. vi. The PC based software records the information as required by the organization, and now whenever somebody queries about the file, it shows the complete history of who has used the file, and at what time. vii. If a file is lost, the last user who has used it can be traced. viii. Also, it is known who all have used the file and during what time.
Authentication for any kind of loan/temporary issue of materials, like books from libraries, tools, etc. – the system can be conveniently used for any kind of issue based system, while the item can be tagged or not tagged depending on the system’s requirement |
